On Friday, July 7, 2023, all UNCG Student email and calendaring accounts will move from Gmail to Outlook as part of the Microsoft 365 adoption.

The long wait for everyone at UNCG to be in the same email and calendaring environment is almost over!

What does this mean?

Friday, July 7, 2023, will be the last day that Gmail is UNCG’s official email provider.

Over that weekend, student email will begin delivery to UNCG’s new Outlook environment. Email and calendar history for students from December 1, 2022, until July 7, 2023, will be available in Outlook immediately. Older emails and calendar history will follow incrementally over time. The time it takes to migrate all emails will depend on how much data must be migrated. We estimate that most email accounts will be completely migrated within two weeks.

OK – but what does that really mean?

During the migration weekend, students can send emails through their UNCG Gmail account at mail.uncg.edu. After their account migrates, email will start going to their UNCG Outlook inbox at outlook.uncg.edu

On Monday, July 10, 2023, after the migration is complete, students should send emails and calendar invitations only through Outlook

After student email is redirected to the Outlook environment, students can still access their data in Google Drive at gmail.com by entering their UNCG email address ([email protected]) and password.

What do students need to do to get ready?

Nothing, really. We know that students might want to tidy inboxes after the move, but it is best to wait two weeks to make sure that the migration is complete. Deleting messages too soon may result in the deleted emails reappearing as the copy process proceeds. Waiting for two weeks should give the migration tool enough time to complete the work.

Can students get training?

Yes! We are so excited that LinkedIn Learning (LIL) is now available to the entire UNCG Campus! This allows students, faculty, and staff members to choose any training they want on demand. Here is a list of training modules that we have curated about Outlook:

For those who prefer to read instructions, Microsoft’s Outlook documentation can be particularly helpful.

What is going away?

For right now, nothing is going away. We will only be changing how email and calendaring are delivered.

Later, once all documents and data have been moved from Google Drive to OneDrive in M365, we will start to decommission Google Drive services for UNCG. To emphasize, that is coming later. Once the schedule is finalized, exact details of what will be moved, how, and when will be made available.

As files are copied from Google to M365, the originals will remain accessible in Google using UNCG usernames and passwords at gmail.com. There will be ample time to verify that all files moved over.

If students wish to migrate their own files, they can visit Microsoft 365 OneDrive and Teams Self-migration for instructions.
