ITS Announces Timeline to Conclude UNCG’s M365 Transition

Information Technology Services (ITS) is working towards an end-of-the-year conclusion of UNCG’s Microsoft 365 (M365) adoption.

We are sharing this plan with you now to provide time for you to prepare. You will receive more details as we move through each stage of the transition.

Three key points about this plan:

ITS will transfer data currently stored in UNCG’s Google and Box platforms to M365 solutions, as outlined in the following timeline.
Faculty, staff, and students with research data will need to prepare for the migration by tagging their data in Box or Google no later than October 31, 2023.

- UNCG is committed to data integrity and effective data management. The Office of Research and Engagement (ORE) has collaborated closely with ITS to develop a process that ensures research data compliance, security, and operability. UNCG’s Gmail service will be deactivated, and all email messages within the application will be deleted on December 22, 2023.

Data Migration Timeline

September 30, 2023 – Data owned by expired accounts will be deleted from Google.

- Are you using data in Google that was shared with you by someone who has since left the university? These files will become inaccessible and will not be included in the December data migration. By September 30, identify and copy files owned by expired accounts to continue working with that data.

October 31, 2023 – Deadline for research data preparation.

November 20, 2023 – Deadline for data storage cleanup.

- Have you been putting off organizing your files and folders? Do you have a lot of data that you just do not need anymore? Now is the ideal time to organize, delete, and clean up your files and folders.

November 27, 2023 – Student, Faculty, and Staff data begins to copy to transfer folders on OneDrive.

- Copying begins on November 27, but you can keep working on your files in Google and Box until December 22. A process toward the end will sync the changes you make.

December 22, 2023 – Final phase of Student, Faculty, and Staff data migration starts.

- The final sync begins. After this point, new files and folders or changes made in Google and Box will not migrate.

December 22, 2023 – All emails in Google will be deleted and the service disabled.

- This marks the conclusion of UNCG’s shift from Gmail to Outlook.

December 26, 2023 – The data migration will be complete.

- Look for the completion notice email. Then, it’s time to unpack your data from transfer folders.
